To manage all accounting principles, practices and procedures that ensure accurate and timely financial management for the Carl Sandburg College Foundation and perform all accounting functions for institutional grants and subawards.
MIDFOU20010 Mid-Management, IV Non-Exempt, Non-Bargaining Unit Reports to: Chief Advancement Officer Principal Working Relationship: Chief Advancement Officer, Director of Accreditation, Associate Vice President of Institutional Resources, Coordinator of Scholarships, Donor Relations and Annual Giving, Coordinator of Alumni and Advancement Communications, Senior Director of Accounting/Controller, Director of Financial Aid, Chief Information Officer, Data and Information Specialist and staff and business Office Staff Major Responsibilities / Assists With / Risk Management Primary Responsibilities: Work with the Chief Advancement Officer to oversee the processing of all transactions, general ledger preparation, financial reporting, Foundation year-end audit preparation, and support of budget, forecast and investment activities.
Maintain a thorough understanding of financial reporting and general ledger structure.
Ensure an accurate and timely week, month, quarterly, and year-end close for the Foundation and institutional grants.
Prepare financial statements for the quarterly Foundation Board meetings and submit financial reports to the grant funding agency.
Collaborate with the Foundation finance-investment committee and partners responsible for the Foundation’s investments.
Evaluate, implement, and manage the Foundation’s finance and technology systems.
Oversee cash-flow management and projections.
Conduct budgeting and cost-control projects.
Oversee the Foundation’s accounts payable and general accounting functions.
Work in partnership with the external third-party audit firm on all auditing and tax matters.
Complete expense reports and cost-control/analyses.
Work with the Director of Accreditation to ensure implementation and compliance with all grant policies and procedures.
Monitor and review grant expenditures.
Assist grant directors and managers with building budgets, reviewing and tailoring accounts to grant needs, preparing journal entries, presenting projections/analyses, approving purchase requests, and assessment of trends for planning future expenditures.
Perform grant and fund accounting and reporting duties ensuring compliance with applicable laws, policies, and grant requirements/guidelines for all assigned institutional grants.
Maintain all compliance and fiscal documents as needed including the accessibility to internal authorities and external agencies.
Prepare monthly bank reconciliations and record related investment entries.
Prepare annual projected investment pooled income payout schedule.
Schedule and submit reimbursement requests to appropriate external funding agencies .
Other duties as assigned.
Assists With: Assist the Director of Accreditation with updating and revising policies and procedures.
Completion of the Federal Single Audit Compliance Report in coordination with Financial Aid and respond to auditor’s questions concerning this document.
Completion of source documentation requests by external third -party auditors[TG10] .
Cross-training to provide support as needed for accounting functions and specific scholarships or programs.
Risk Management and Loss Prevention Activities: Actively participate in and carry out activities in support of the college Risk Management Program in a capacity appropriate to this position.
Monitor conditions, events, and circumstances present in the college operation to avoid potential torts or injuries to students, staff, or the general public, and then communicate observations to the appropriate supervisor and/or Risk Management Committee.
Maintain a working knowledge of the college’s emergency procedures and how to operate emergency phone systems; including internal/external call boxes.
Minimum Necessary Skills, Experience, and Educational Background Minimum Necessary Education, Skills, and Experience: Associate degree in accounting, business, finance or related field or 60 hours college credit required.
Two years of public accounting or accounting management experience required.
Bachelor’s Degree with a major in Accounting, Business, Finance or related field preferred.
Strong mathematical technical and problem-solving skills.
Accounting experience in a community college or university, or nonprofit organization preferred Knowledge of general accounting principles and payroll accounting required.
Experience in Financial Edge NXT or similar fund accounting software and endowment management software preferred .
Strong computer skills including word processing, database management, spreadsheets, and use of automated systems.
High degree of accuracy and problem-solving skills.
Excellent verbal and written communication skills.
Ability to work with multiple deadlines in a fast-paced setting.
Strong leadership and interpersonal skills.
The ability to communicate successfully both verbally and in writing with clients without regard to race, color, religion, age, sex, national origin, disability status, genetics, protected veteran status, sexual orientation, gender identity or expression, or any other characteristic protected by federal, state or local laws.
Must hold a valid Drivers License.
Spanish or French proficiency preferred.
